A strong offsite is made in the weeks before,
not on the day itself.
Most offsites are planned too late. This checklist works backwards from your event date, so nothing slips through the cracks.
Pro tips most people overlook
Every phase of the checklist comes with one insider tip. Here are six of them.
Start earlier than you think
Plan at least three months ahead, ideally six for large groups. Good venues are often booked half a year in advance, and starting early means you negotiate from a stronger position.
Budget realistically
Plan for roughly 800 to 1,200 euros per person per day for offsites in Europe. If a quote comes in far below that, ask what is missing: usually meeting technology or drinks.
Check three contract clauses
A force majeure clause, the minimum spend on food and beverages, and a discount on meeting technology. This is often where several thousand euros are saved.
Visit before you sign
Try a meal, check the route between rooms and meeting space, and ask whether other groups will be in the house on the same days. A loud neighbouring event can ruin your workshop.
One sheet for the kitchen
Every group has someone with a dietary restriction. Collect it at registration, put everything on one overview and give exactly that one sheet to the kitchen.
Prime the team
A short message a few days before, explaining what the offsite is about, makes sure people arrive in the right frame of mind. And design the first thirty minutes deliberately: they set the tone.

What is inside the checklist
The checklist takes you backwards from the event date through twelve weeks. Every phase has clear tasks to tick off. Work through them in order and nothing slips through the cracks.
1. Weeks 12 to 11: Lay the foundation
Define a measurable goal: not just "team building", but for example better alignment between two departments or a clear decision on the annual strategy.
Set a budget range, fix the number of participants and the time frame, and ask key stakeholders about their expectations.
2. Weeks 10 to 9: Format and location
Choose a duration and format that fit the goal: one or two overnight stays, workshop-heavy or more room for informal exchange.
Narrow down regions with travel time in mind and build a first list of five to eight venues.
3. Weeks 8 to 7: Request and compare proposals
Send one standardised request to all preferred venues so the offers are comparable.
Always ask for an itemised price list instead of a package price, then pick two or three favourites.
5. Weeks 4 to 3: Program and catering
Draft the agenda and align it with stakeholders. Do not over-plan: build in real breaks and free time.
Collect dietary requirements and intolerances through the registration.
4. Weeks 6 to 5: Book and secure suppliers
Make the final venue booking and sign the contract.
Confirm facilitation, transport and activities, open participant registration and send the save-the-date.
6. Weeks 2 to 0: Final touches and delivery
Finalise the run sheet, send the participant briefing and put emergency contacts on one sheet.
On the day: test the technology before the group arrives, design the first thirty minutes deliberately and keep evening activities optional.
Offsite planning FAQs
How far in advance should you plan a team offsite?
At least three months, ideally six for large groups. Good venues are often booked half a year ahead for popular dates.
How much does a team offsite cost?
For offsites in Europe, plan for roughly 800 to 1,500 euros per person per day. If a quote comes in far below that, ask what is missing.
How long should a company offsite be?
It depends on the goal. One overnight stay works for focused alignment on one topic. Two nights leave room for strategy work plus informal exchange.
What is the most common offsite planning mistake?
Starting with the venue instead of the goal. If you cannot say afterwards whether the offsite achieved what it was meant to, it was an event, not an investment.
